Importing Data from TeamUnify in PoolMMS

Note: The TeamUnify import feature is available in PoolMMS when used in "TeamUnify Integration" mode or "Mixed" mode.

Introduction

PoolMMS, the membership management and registration system developed by Salvatorelli Group, provides a seamless integration with TeamUnify, a popular swim team management system. This integration allows you to import member data from TeamUnify into PoolMMS, ensuring a smooth transition of information and simplifying your administrative tasks.

TeamUnify Import Format

Some organizations may be using GoMotion, an alternate version of TeamUnify, which requires slightly different steps.

To import data from TeamUnify into PoolMMS, follow the steps outlined below:

  1. Log into TeamUnify's "BackOffice" - Access TeamUnify's administrative interface using your Superuser credentials.

  2. Navigate to "Members" - In the sidebar of the TeamUnify "BackOffice," locate the "Team Tools" section and select "Members."

  3. Customize Filters - On the "Members" page, click on "Customize Filters" to filter the member list. Apply filters to display only the current members, ensuring you import the most relevant data.

    Note: Filtering the member list is an optional step, but it helps streamline the import process by focusing on the necessary information.

  4. Export Member Data - Select all the filtered members by clicking the checkbox, and then click on the newly-enabled "Export" button.

  5. Choose Fields - In the export dialog, select the following fields that you want to include in the import file: Billing Group, Birthday, Member First Name, Member Last Name, Phone, Swimmer Identity ID, and Email. This selection represents the standard PoolMMS TeamUnify import format. However, if you require a custom format, refer to the PoolMMS documentation (coming soon) for instructions on creating a custom import format.
    GoMotion users should select "ID Card #" instead of Swimmer Identity ID.

  6. Generate the Report - Click on "Create Report" to generate and download the import file containing the selected member data.

  7. Access the PoolMMS Admin Panel - Open a web browser and go to the PoolMMS Admin panel using the administrator URL (https://poolmms.com/gohome).

  8. Navigate to Data Import - In the PoolMMS Admin panel sidebar, locate and click on "Data Import."

  9. Create a New Import Job - On the "Data Import" page, select "New Job" to initiate a new import process.

  10. Select TeamUnify as the Import Format - In the "Data Import Format" dropdown, choose "TeamUnify" to indicate that you are importing data from TeamUnify. GoMotion users should select the "GoMotion" format.

  11. Upload the Import File - Use the file upload field to select and upload the previously generated TeamUnify export file containing the member data.

  12. Add Job to Queue - Once the file is uploaded, click on "Add Job to Queue" to start the import process. PoolMMS will begin processing the import job in the background.
